Getting Started with Inventa: Start in 30 Minutes

New software doesn't have to mean weeks of setup
Setting up a new inventory management system often feels overwhelming: complex configurations, data migrations, and lengthy training sessions. Inventa is designed differently. Our goal is to get you up and running in under 30 minutes — no technical expertise or outside help needed. This guide walks you through the entire process, step by step.
Before you start: what you need
Setup is fastest when you have the following ready. None of these are mandatory right away — you can add them later too.
Shopify store
Your Shopify store URL if you want to sync products automatically.
Product list
An Excel or CSV file of your products if you're not using Shopify.
Procountor credentials
Your Procountor login details if you want to connect accounting.
Tip: You can start with just an email address and add integrations later. The trial period is 30 days — plenty of time.
Setup step by step
Step 1: Create your account
Go to Inventa's signup page and fill in your details. You get a 30-day free trial — no credit card required. Your account is ready to use immediately.
- Enter your email address and choose a password
- Fill in your company name and business ID
- Confirm your email — done!
Step 2: Connect Shopify (optional)
If you use Shopify, you can sync all your products automatically in just a few minutes.
- Go to Settings > Integrations > Shopify
- Enter your Shopify store URL
- Authorize the connection from your Shopify account
- Products sync automatically — usually within a few minutes
Step 3: Or import products from Excel/CSV
Without Shopify, you can easily import your products from an Excel or CSV file.
- Download the import template from Inventa (Products > Import > Download template)
- Fill in your product data: name, SKU, price, stock quantity
- Upload the completed file to Inventa
- Review the import report and fix any errors
Step 4: Set up locations
Add the warehouses, stores, and departments where your products are kept. This lets you see stock levels by location.
- Go to Settings > Locations > Add location
- Enter the location name, type (warehouse/store/department), and address
- Repeat for each location
Step 5: Configure stock alerts
Alerts keep you informed about stock levels without constant monitoring.
- Go to Settings > Alerts
- Set a threshold for low stock (e.g., 10 units)
- Set a critical threshold (e.g., 3 units)
- Optionally set an overstock alert threshold
Step 6: Connect Procountor (optional)
Procountor integration automates accounting and eliminates manual work.
- Go to Settings > Integrations > Procountor
- Enter your Procountor credentials
- Map your accounting accounts with Inventa
- Test the connection and enable automatic sync
Step 7: Invite your team
Add employees and assign them roles and permissions. This way everyone sees only what they need.
- Go to Settings > Team > Invite user
- Enter email address and select a role (admin, warehouse manager, store employee...)
- The invitee receives an email and can start right away
And that's it — you're ready! The entire process typically takes 15–30 minutes depending on the number of products and integrations.
First day: getting off to a great start
Once the system is set up, we recommend these steps on your first day:
- Do an initial stock count to establish an accurate baseline
- Review ABC classification — Inventa automatically classifies your products by sales
- Check reorder point suggestions and adjust them to your needs
First week: get the most out of Inventa
During your first week, Inventa starts collecting data that makes your inventory management smarter day by day.
- Monitor alerts and react to them — learn how the system notifies you about stock levels
- Create your first purchase order directly from Inventa
- Explore the analytics dashboard — inventory turnover, sales trends, and stock value
- Gather feedback from your team — adjust roles and permissions as needed
