Barcode Scanning in Inventory Management: A Practical Guide

If you sell products without a manufacturer barcode (e.g., handmade items), you can use Code 128 or QR codes for internal management. An official EAN code is only needed if the product ends up on a retail shelf.

Setting Up Barcodes: How to Start

If your products do not have barcodes yet, do not worry. Setup is simpler than you might think.

1. Define Your Product Codes

Use a consistent coding system. For example: category-subcategory-sequence (like TEE-BLK-001 for the first black t-shirt). Inventa can automatically generate QR or Code 128 codes based on product SKUs.

2. Print Labels

Use a quality label printer (e.g., Brother QL-820NWB or Dymo LabelWriter). Choose weather-resistant labels, especially if products are stored in cold or humid conditions. The most common label sizes are 50x25 mm and 40x20 mm.

3. Apply Labels

Always place the label in the same spot: preferably the lower right corner of the product or packaging. Make sure the label is on a flat surface and does not bend over edges -- otherwise the scanner cannot read it reliably.


Common Mistakes and How to Avoid Them

  1. Poor quality labels: cheap labels fade and wrinkle. Use quality label materials.
  2. Inconsistent scanning: if some staff scan and others enter manually, stock levels become unreliable. Make scanning a mandatory process.
  3. Mixing barcode formats: choose one format for internal use (e.g., QR code) and stick with it.
  4. Neglecting staff training: a 15-minute quick session is enough, but it must be done. Show how the scanner works and what to do when errors occur.

The biggest mistake is buying scanners but not systematically using them. Scanning only works if everyone uses it every time.


Barcodes in Finland: GS1 Finland and EAN Codes

If you sell products in retail in Finland, you need an official EAN code. These are issued by GS1 Finland (formerly EAN Finland). Membership costs around EUR 250/year and includes the right to create unlimited EAN codes for your products.

If you only sell through your own online store or brick-and-mortar shop and do not supply wholesalers or retail chains, you can use internal barcodes (Code 128, QR) without GS1 membership. This is a common solution for small and medium businesses.
